Skoolway is one login for the work a school already does. A school adds its own learners, staff, classes, and fee accounts. The pages below describe what the product can record today.
Learners, parents, and staff
A school can add learners one by one or from a spreadsheet, including a roll number or NEMIS number. Parents are linked to those learners. Teachers and other staff are invited by the school and choose their own password.
Primary, secondary, TVET, and university can be selected when the school is created. A school can also say whether it is day, boarding, or both. Those choices decide which identity fields and boarding or transport options appear.
Classes, attendance, and academics
The school creates grades, streams, subjects, and a timetable. Teachers mark a class register as present or absent. That register is what the attendance figure on the school dashboard is calculated from.
Exams, subject results, and a term report can be stored for a learner. The parent and learner portal can show the timetable, results, and diary entries the school has saved.
Fees
The school sets vote heads and can record a payment by hand. When the school connects its own M-Pesa, Pesapal, or bank account, a payment notice can be written onto the learner’s fee record after it arrives.
Skoolway does not receive the fee into a Skoolway account. The money goes to the paybill, till, or bank account the school connected. Cash has no automatic notice, so the school records cash itself.
Library, health, and transport
Library staff can keep a catalogue, loans, due dates, and fines. Health staff can keep allergies, sickbay visits, and incident notes. Those notes are for the school and the learner portal, not a public profile.
Transport staff can add routes, vehicles, and the learners on a route. A driver session can share a live location and record when a vehicle leaves the planned route. The map is an aid for the school. It is not a promise of a learner’s exact position.
Who signs in where
School administrators use the school dashboard. Teachers use a teacher portal, including the class register. Library, clinic, finance, and transport staff use the workspace the school assigns.
Parents and learners use one portal. A parent with more than one learner on the school can switch the learner they are viewing. One family’s portal does not open another family’s records.
